General Rental Questions

What is Party For Less Rentals?

Party For Less Rentals is a locally operated party rental company serving Aurora and the Denver Metro area. We specialize in affordable DIY party rentals for birthdays, backyard parties, graduations, school and church events, family gatherings, and other celebrations. Our DIY pickup model helps keep rental prices lower while giving customers more time to enjoy their rentals.

We primarily serve Aurora and the Denver Metro area. Most rentals are available for customer pickup in Aurora, and limited delivery may be available for select equipment, packages, or locations.

Our DIY pickup model eliminates much of the delivery, setup, staffing, and transportation expense associated with traditional party rental companies. Those savings allow us to offer affordable rental prices while still providing clean, well-maintained equipment.

Most of our rentals are designed for convenient customer pickup from our Aurora location. Limited delivery and setup may be available for select products or packages. Check the individual rental listing for available options.

Most DIY rentals are intended to be set up by the customer. Certain larger equipment or specialty rentals may include or require delivery and setup. The individual product description will explain any special requirements.

Many of our rentals are designed around extended or weekend rental periods rather than just a few hours. Your exact pickup and return dates and times will be shown with your reservation.

Yes. Rentals are not limited to weekends. Availability varies by product and existing reservations, so check the online booking calendar for your desired dates.

Reservations & Availability

How do I reserve party equipment?

Browse our rentals online, select the equipment or package you want, choose your available rental dates and complete the reservation process. Once your reservation is confirmed, you will receive information regarding payment, pickup or delivery, and return.

We recommend reserving as early as possible, especially for weekends, holidays, graduation season, summer events, and popular equipment. Inventory is limited and reservations are generally accepted on a first-confirmed basis.

Our DIY pickup model eliminates much of the delivery, setup, staffing, and transportation expense associated with traditional party rental companies. Those savings allow us to offer affordable rental prices while still providing clean, well-maintained equipment.

No. Placing an item in your shopping cart does not guarantee availability or hold the equipment. Your rental is reserved only after the required booking process and payment have been completed and you receive confirmation.

Once your reservation is confirmed, the quantity reserved for you is removed from availability for conflicting rental periods.

Possibly. Changes are subject to inventory and scheduling availability. Contact us as soon as possible if you need to add equipment, remove items, change dates, or make another adjustment.

Yes, provided the additional equipment is still available. Contact us or place an additional reservation. We will make reasonable efforts to coordinate the rentals together.

Payments & Deposits

How much is required to reserve my rental?

A minimum 50% payment may be required to secure eligible advance reservations, with the remaining balance due according to the terms provided with your reservation. Reservations made closer to the rental date may require payment in full at booking.

Your confirmation and rental agreement will identify the applicable payment deadline. Any required balance must be paid before equipment is released to the customer.

We accept major bank-issued credit and debit cards only. We do not accept cash, checks, Zelle, Cash App, Venmo, or other person-to-person payment services. Payments, security deposits, and applicable card authorizations or holds are securely processed through Stripe and other approved third-party payment services. Party For Less Rentals does not directly store your full credit or debit card number.

Refund eligibility depends on when the reservation is canceled. Please review our Cancellation & Refund Policy for the complete cancellation schedule, processing fees, rescheduling options, and exceptions.

Additional charges may apply for optional delivery, setup, consumables, cleaning beyond normal use, missing items, damaged equipment, late returns, or other optional services. Applicable charges are disclosed with the rental or rental agreement whenever possible.

Pickup & Returns

Where do I pick up my rental?

Most DIY rentals are picked up by appointment from our private residential pickup location in Aurora, Colorado. For the privacy and security of our customers and equipment, the exact address and pickup instructions are provided only to customers with a confirmed reservation. Limited delivery may also be available for select rentals.

Yes. Pickups and returns are scheduled. This allows us to have your equipment inspected, prepared and ready while coordinating multiple customers efficiently.

No. Please do not arrive outside your scheduled pickup or return window without contacting us first. We may be assisting another customer, completing a delivery, or unavailable at the location.

Contact us as soon as possible. We will make reasonable efforts to arrange another pickup time, but alternate availability is not guaranteed. We cannot delay another customer’s reservation, delivery, or appointment because of a missed pickup.

Missing a scheduled pickup does not automatically qualify the reservation for a refund. We will attempt to arrange another available pickup time, but the original rental period and charges remain applicable.

Contact us as soon as possible. We will work with you when scheduling permits, but transportation problems or other circumstances preventing a customer from arriving for pickup do not automatically qualify the reservation for a refund.

Contact us before sending another person. We may require authorization from the person who made the reservation and identification from the person picking up the equipment.

Bring a vehicle large enough to safely transport your equipment along with any identification, payment method, or documentation specified in your reservation instructions. Some larger rentals may require specific vehicle or cargo-space requirements.

We will provide reasonable assistance when available, but customers are responsible for arriving with an appropriate vehicle and securing their rental equipment safely for transportation.

Yes, with prior coordination. Early returns DO NOTqualify for a partial refund or credit simply because the equipment was returned before the scheduled return time.

No. Returns are by scheduled appointment or according to the return instructions provided with your reservation. Do not leave rental equipment unattended unless Party For Less Rentals has specifically authorized a designated drop-off procedure.

Late returns can affect other customers’ reservations, so please contact us as soon as possible if you believe you will be late. We understand that unexpected situations happen, and we will work with you when reasonable arrangements can be made.

Rental equipment not returned by the agreed return deadline may be subject to a late fee of up to $50 per day, as provided in your Rental Agreement. If equipment remains unreturned and the customer fails to communicate or make approved return arrangements, Party For Less Rentals reserves the right to charge applicable late fees in addition to the full replacement cost of the unreturned equipment and any other charges authorized under the Rental Agreement.

Communication matters. Contacting us does not automatically waive a late fee, but it gives us an opportunity to work with you and minimize disruption to other customers.

Equipment & Rental Use

Is your equipment cleaned between rentals?

Yes. All rental equipment is thoroughly cleaned and inspected before being made available to the next customer. Equipment is also sanitized when appropriate for the type of item. While we take cleaning seriously, we recommend that customers perform their own quick cleaning or sanitizing before use as an additional health and hygiene precaution, particularly for concession equipment and other items that may come into contact with food or frequently touched surfaces.

Yes. Every rental includes easy-to-follow laminated instructions in both English and Spanish. Depending on the equipment, these instructions may include setup and operating directions, cleaning requirements, return instructions, and our contact information if you need assistance.

Equipment requiring more detailed setup or operation—such as concession machines and specialty rentals—may also include a QR code linking to video instructions for additional step-by-step guidance.

Even simple rentals, such as tables and chairs, will include the applicable cleaning and return information. If you still have questions or experience a problem during your rental, contact us and we’ll help you troubleshoot it.

It depends on the product. Individual listings identify whether equipment is appropriate for indoor use, outdoor use, or both. Customers are responsible for confirming that their venue has adequate space, access, electrical service, ceiling clearance, and other requirements.

Potentially. Customers are responsible for obtaining any permits, reservations or permissions required by the park, municipality, HOA, venue or property owner. Some locations may restrict inflatables, generators, amplified sound, stakes or other equipment.

Some do and some do not. Products requiring electricity will identify their power requirements. Customers are responsible for providing adequate electrical service unless otherwise specified.

Not necessarily. If electrical outlets are unavailable or too far from the equipment, an appropriate generator may be required. Check the individual product’s power requirements before your event.

Only appropriately rated extension cords should be used with powered equipment. Certain rentals may include an extension cord; check the individual listing or rental instructions.

The base rental price is for the concession machine only unless otherwise stated. Supplies are available for an additional charge for most concession rentals, with options typically sized to serve approximately 25, 50, 100, or 150 guests. Larger quantities may also be available by contacting us, and some larger events may require multiple machines.

All consumable supplies are provided new and in their original packaging and are yours to keep—we do not accept or reuse returned food or consumable supplies. Available supply packages, quantities, and pricing are listed with each rental. Certain items, such as hot dogs, may only be available in full-case quantities.

Yes. Customers are responsible for providing their own ice. Ice is not included or sold with our snow cone machine rentals.

The rental includes an ice scoop, and optional snow cone supplies such as syrups, cups, spoon straws, and other serving supplies are available for an additional charge. We also offer ice chest rentals if you need a convenient way to transport and store your ice during the event.

This varies by equipment. For example, a game may be suitable for a large event even though only one or two participants play at a time. Check the individual product listing for recommended use and participant information.

Weather & Outdoor Events

What happens if it rains?

Colorado weather can change quickly, and customers planning outdoor events assume the normal weather risks associated with their event. Rain or unfavorable weather does not automatically result in a refund when the equipment remains available for the reservation. Additionally continued use, may also result in damages and damage fees. 

We encourage customers to contact us as early as possible. Depending on the circumstances and equipment availability, we may be able to move an eligible reservation to another available date. Rescheduling is subject to our Cancellation & Refund Policy and availability.

Safety takes priority. Rental equipment must not be used during weather or site conditions that make its operation unsafe, including high winds, lightning, severe storms, heavy snow, flooding, or other hazardous conditions. Customers must follow all manufacturer requirements, provided safety instructions, and directions from Party For Less Rentals.

If conditions become unsafe, stop using the affected equipment immediately and secure it as instructed. Customers are responsible for protecting rental equipment while it is in their possession. Damage caused by continued use during unsafe conditions, failure to properly secure or protect equipment, or failure to follow provided safety instructions may result in repair costs, damage fees, or the full replacement cost of equipment that cannot reasonably be repaired.

When in doubt, STOP using the equipment and contact us.

No. Inflatable equipment must never be operated outside the manufacturer’s specified weather and wind limitations. If winds or other conditions reach unsafe levels, the inflatable must be shut down immediately and secured according to the provided instructions.

Customers are responsible for monitoring conditions throughout the rental period and following all safety requirements. Continuing to operate an inflatable after conditions become unsafe can create a serious risk of injury and property damage. Customers may be responsible for damage, repair costs, or full replacement costs resulting from prohibited or unsafe operation, improper securing of the equipment, or failure to follow the provided instructions.

Cancellations & Rescheduling

What is your cancellation policy?

Our cancellation policy is based on how far in advance the reservation is canceled. More than 14 calendar days before the rental.  Amounts paid are refundable, less a 5% cancellation-processing fee. 8–14 calendar days before the rental.  The customer may receive a refund equal to 50% of amounts paid, or request one eligible reschedule as described below. 7 calendar days or less before the rental.  Payments are nonrefundable, because the equipment has been held and may no longer be reasonably rebooked. At our discretion and subject to availability, we may allow one reschedule instead of forfeiting the reservation.

Yes. Customer-requested cancellations are subject to a 5% cancellation-processing fee when a refund is issued. This fee helps cover payment-processing and administrative costs associated with the reservation and cancellation. The 5% fee applies in addition to any refund limitations based on how close the cancellation occurs to the scheduled rental date. For example, if a reservation qualifies for only a partial refund under our Cancellation & Refund Policy, the applicable cancellation-processing fee will also be deducted.

Rescheduled reservations are not charged the 5% cancellation-processing fee when the payment is transferred to an approved new rental date rather than refunded.

Usually. We encourage customers whose plans change to contact us about rescheduling. When possible, moving a reservation can preserve more of the value of the original booking than canceling it. Rescheduling remains subject to availability and the applicable policy.

We take confirmed reservations seriously. If Party For Less Rentals is unable to fulfill your confirmed reservation because of an operational issue on our end, such as an equipment failure, scheduling or inventory error, delivery problem, or another circumstance within our reasonable control. We back the affected rental with our 200% Guarantee.

You will receive a 100% refund of all amounts paid for the affected rental, with no cancellation, processing, or administrative fees deducted. In addition, we will offer you the opportunity to reschedule the affected rental for another available date at no rental charge, subject to equipment availability and the terms of our guarantee.

Simply put: we refund what you paid for the affected rental, and we give you another opportunity to rent it from us at no rental charge.  (Any normally required refundable security deposit or payment authorization will still apply to the rescheduled rental.)

Our 200% Guarantee applies when Party For Less Rentals is responsible for being unable to fulfill the confirmed reservation. It does not apply to customer cancellations, missed pickup appointments, failure to meet rental requirements, unsafe event-site conditions, severe weather, natural disasters, government restrictions, road closures, emergencies, or other circumstances beyond our reasonable control.

We created our 200% Guarantee because when you make a confirmed reservation with Party For Less Rentals, we believe you should be able to depend on us to honor it.

Our prices reflect our equipment, rental periods and service model. A reservation is not automatically refundable because a customer later finds another provider or decides to use different equipment. Please refer to our Cancellation and Refund Policy page

Damage, Cleaning & Customer Responsibility

What happens if I damage rental equipment?

Notify us immediately. Customers may be responsible for repair or replacement costs for equipment damaged through misuse, negligence, unauthorized modification, improper transportation, prohibited use or failure to follow instructions.

Customers are responsible for returning all equipment, accessories, parts, pieces, and components included with their rental. Many rentals include an inventory or piece count to help customers verify that everything is returned.

If something is missing, we will make reasonable efforts to obtain an individual replacement part or component when one is commercially available. The customer may be responsible for the cost of the replacement part and any applicable charges provided in the Rental Agreement.

However, some equipment, games, accessories, or components are not available for individual replacement. If a missing item cannot reasonably be replaced and its absence makes the rental equipment incomplete, unsafe, or unusable for future customers, the customer may be responsible for the full replacement cost of the affected rental item or set.

We will make reasonable efforts to avoid replacing an entire item when an appropriate replacement part can be obtained.

Normal cleanup is expected. Equipment does not need to be professionally cleaned, but it should be returned reasonably clean and free of excessive food, trash, mud, stains or other debris. Excessive cleaning may result in additional charges, and or loss of secured deposit. 

If any rental equipment appears damaged, incomplete, is not operating properly when you receive it, or stops working at any point during your rental, please stop using it if continued operation could be unsafe or cause additional damage and contact Party For Less Rentals as soon as possible.

We must be given a reasonable opportunity to troubleshoot the problem, provide instructions, determine whether the issue can be safely corrected, or arrange a repair or replacement when reasonably available. Depending on the equipment and circumstances, we may be able to resolve the issue by phone or text, provide additional operating instructions, or make other appropriate arrangements.

Do not continue using equipment if it is malfunctioning, damaged, or unsafe to operate. Customers may be responsible for additional damage caused by continuing to use equipment after they knew, or reasonably should have known, that continued operation could cause further damage or create an unsafe condition.

Problems reported only after the rental period or event has ended generally will not qualify for a refund or rental credit when Party For Less Rentals was not given a reasonable opportunity to address the problem during the rental. If equipment is used throughout the rental period without an issue being reported, we may reasonably consider the equipment to have been accepted and operational during the rental.

If you experience a problem, contact us when it happens rather than waiting until the equipment is returned. This gives us the best opportunity to resolve the issue and keep your event running as planned.

Yes. The customer is responsible for the rental equipment from the time it is received until it is properly returned to or recovered by Party For Less Rentals.

We do not recommend leaving rental equipment outside overnight, even when it is designed for outdoor use. If equipment is left outside, the customer remains fully responsible for protecting it from theft, unexpected weather, rain, wind, sprinklers, animals, and other preventable damage or loss. Whenever reasonably possible, equipment should be moved to a secure, protected location when not in use.

Delivery & Setup

Which rentals are available for delivery?

Delivery may be available for certain larger equipment, packages, bulk orders and specialty rentals. Products eligible for delivery will indicate the option when applicable.

Delivery charges vary based on distance, equipment, order size, access requirements and whether setup or additional services are needed.

Generally, yes. An authorized adult should be available unless Party For Less Rentals has approved other arrangements in advance.

Contact us as soon as possible. We will make reasonable efforts to arrange another pickup time, but alternate availability is not guaranteed. We cannot delay another customer’s reservation, delivery, or appointment because of a missed pickup.

We schedule deliveries with enough time before your event whenever reasonably possible. If your delivery is running behind, we will communicate with you and make every reasonable effort to complete the delivery without disrupting your event.

If an issue within Party For Less Rentals’ reasonable control prevents us from fulfilling your confirmed rental, the affected rental is backed by our 200% Guarantee: you will receive a 100% refund with no cancellation or processing fees, plus the opportunity to reschedule the affected rental for another available date at no rental charge. Any normally required refundable security deposit or payment authorization will still apply.

Our 200% Guarantee does not apply simply because a delivery arrives later than originally scheduled if the rental is still successfully provided in time for its intended use.

Parties, Schools, Churches & Larger Events

Do you rent equipment for school events?

Yes. Our rentals can be used for school celebrations, field days, fundraisers, carnivals, graduations and other approved school events.

Yes. Churches, nonprofits and community organizations are welcome to rent equipment, subject to availability and our standard rental requirements.

Yes. Tables, chairs, event essentials, games and other available equipment may be appropriate for weddings, receptions, rehearsal dinners and related events.

Yes. Available rentals can be used for company picnics, employee appreciation events, office celebrations, promotional events and other corporate functions.

Absolutely. Customers can combine tables, chairs, games, concession equipment, event essentials and other available rentals to build an event that fits their needs and budget.

Yes. Selected products may be bundled into packages designed around specific types of events. Packages can make planning easier and may provide a better overall value than selecting every item individually.

Before Your Event

How do I know what size vehicle I need?

Check the product description and pickup information. Larger quantities of tables, chairs, games and equipment may require an SUV, pickup, trailer or other appropriately sized vehicle.

That depends entirely on the rental and vehicle. Do not assume large equipment will fit in a passenger vehicle. If you are unsure, contact us before pickup.

Space requirements vary significantly. Check individual product specifications and allow additional room for participants, entrances, exits, electrical cords, equipment operation and safe clearance.

Confirm your event date, venue rules, available space, electrical requirements, vehicle capacity for DIY pickup, weather considerations and any required permits before making your reservation.

Yes. Every rental from Party For Less Rentals requires a completed and electronically signed Rental Agreement, regardless of the size or value of the rental. Before equipment can be released, the Rental Agreement must be signed and all required rental payments, security deposits, and payment authorizations must be completed.

The Rental Agreement is a legally binding agreement designed to protect both you, the customer, and Party For Less Rentals. It clearly documents what you are receiving, your rental period, return requirements, equipment condition and responsibilities, as well as our responsibilities to you as the rental provider.

Customers are responsible for the proper care, use, cleaning, and timely return of rental equipment while it is in their possession. Failure to return rental property may result in additional charges and may have legal consequences under applicable Colorado law.

We keep the process as simple as possible. The agreement helps ensure everyone understands the expectations before the equipment leaves our possession, reducing misunderstandings and protecting both sides if a problem occurs.
